Currently, the Human Resources department utilizes equipment that has been obsolete for at least a decade. These systems require paper trails from 4 locations be sent out to a central location where it is distributed to the appropriate clerk and then entered into the Human Resources system. Once this has been done, it is entered into a spreadsheet for maintenance and tracking. Each department has its own spreadsheet for tracking their areas of control or interest. There is a tremendous need to increase information security and access control, such as employee files. Managers of individual areas keep personnel files in a locally secure area; this creates a hazard for a security breach. These same managers are required to track time off in accordance with Family Medical Leave Act (FMLA) and Americans with Disabilities Act (ADA). All of these combined create a very labor intensive way to control personnel data and acquiring all information about a particular employee at this time is highly unlikely. Adding to the possible areas of error includes the utilization of a third party Workers Compensation coordinator that also keeps their own files. An audit of information control will expose several weaknesses and security concerns that could be brought into a secure network with an upgrade of infrastructure. Upgrading the current system to a wide area network (WAN) including all current locations with an ERP control system to integrate all functions into a system that can be both secured and accessible with appropriate permissions that is accessible in one location should be constructed with enough flexibility to absorb new legacy systems should further acquisitions be made with minimal disruption to overall operability. This new system should also allow for Virtual Private Network (VPN) access for third party companies with a need for access to pertinent data with appropriate permissions to prevent access to sensitive data.
